Position Title: Administrative and Finance Assistant

Duty Station: Budapest, Hungary

Classification: General Service Staff, Grade G5

Type of Appointment: Special Short Term (SST) with possibility of extension, 50% part time

Estimated Start Date: Subject to funding confirmation

Context:

Under the overall supervision of the Head of Office and direct supervision of the Senior Finance and Administrative Assistant; the successful candidate will have the following duties and responsibilities:

Core Functions / Responsibilities: * Reviews all types of payments starting from purchases to payment requests verifying that they are duly authorized and all the supporting documents are attached therewith;

  • Provide assistance to staff with the proper calculation of travel advances/settlement of TAs and travel expenses in line with the latest travel regulations;
  • Ensure that all accounting documents are properly filed and updated as necessary;
  • Assist in timely preparation of interim and final financial reports for the Mission’s projects according to donor relevant requirements, in coordination with involved field missions as applicable.
  • Participate in all internal and external audits of the project.
  • Assist in preparing annual budget submission and revisions including estimating staff cost as well as office cost and other contracts, services or running expenses, to include in the budget;
  • Take part in ensuring that IOM financial regulations are correctly applied on all financial transactions and that the mission’s financial transactions are entered into the IOM accounting system PRISM;
  • Assist in the preparation of budgets, accounting, financial reports, statistical reports and other reports as required. Respond to accounting, budget or financial queries regarding data;
  • Prepare VAT reclaims and other regular administrative reports of the office
  • Provide financial and administrative support to IOM Budapest, and assist in the procedures of monthly closures
  • Perform other related duties as required.

Required Qualifications and Experience

Education

  • High School diploma with five years of relevant experience; or,
  • Bachelor’s degree in Business Administration, Accounting, Finances, or related fields with three years of relevant professional experience.

Experience

  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
  • Previous work experience in a projectized operational environment and working with EU funds is distinct advantage.

Skills

  • Proficient in Microsoft Office applications e.g. Excel, Word, PowerPoint, Outlook;
  • Familiarity with SAP is a distinct advantage
  • Attention to detail, ability to organize paperwork in a methodical way;
  • Discreet, details and clients-oriented, patient and willingness to learn new things

Language skills

  • Fluency (oral and written) in English and Hungarian is required.
  • Any other IOM official language would be considered as advantageous.
