Job description, responsibilities and duties
Office of the IOM International Organization for Migration in the Slovak Republic is seeking for a candidate for the position of Financial and Resource Management Assistant. Under the direct supervision of the Resource Management Officer, overall supervision of Head of Office, the Financial and Resource Management Assistant will be responsible for support and assistance related to financial management and accounting of IOM office in Bratislava and sub-office in Kosice. Specifically, s/he will perform:

1. Payables/Receivables in SAP, incoming/outgoing invoices, expense claims, advances.
2. G/L accounting and G/L account maintenance, VAT and consumption tax related entries. G/L entries, corrective entries processing, car logbooks processing.
3. Procurement – Purchase order creation in SAP, new vendor creation, asset retirement.
4. Payroll processing – Payroll processing entries in SAP HR – maintaining of positions. Assists in non-staff payroll processing – CP entries.
5. Bank transfers – creating bank transfer file based on payable report, provides first signature in bank.
6. Issuing of invoices and proforma invoices to customers
7. Preparation of requests for payment to mainly EC funded projects and prepares supporting documentation from SAP entries related to claimed expenses.
8. Monthly spending analysis preparation for project teams and management.
9. Financial documents management and archiving – maintaining filling system of all accounting documents.
10. Procurement of services and goods in line with internal rules and donor reporting requirements.
11. Communication with suppliers, market research and supplier contracts preparation.
12. Keeping up with the donor´s reporting requirements for the locally managed AMIF projects;
13. Assist in negotiation and set up of procedures to ensure alignment of IOM rules and regulations with the donor´s requirements;
14. Other duties as may be assigned.

General Staff (GV, UN Salary Scale valid for the Slovak Republic since 1 Jan 2009). Step one of the salary scale corresponds to 1490 EUR base salary per month, 1310 EUR net salary per month, salary is tax exempted.
6 weeks of paid annual leave per year.

Requirements for the employee
Candidates with education suit the position

  • University education (Bachelor’s degree)
  • University education (Master’s degree)

Language skills: English – Upper intermediate (B2) and Slovak – Proficiency (C2)

Other knowledge

  • Double-entry bookkeeping – Advanced
  • Payroll accounting – Basic
  • Microsoft Excel – Advanced
  • SAP – Basic

Number of years of experience: 3
Personality requirements and skills

  • Bachelor degree, preferably in Business Administration or alternatively an equivalent combination of relevant training and experience
  • Three years of accounting experience;
  • Experience in one of the organizations of the UN Common System and field experience are a distinct advantage.
  • Proven experience with EU funding instruments, financial management and reporting is an asset.
  • Knowledge of financial rules and regulations required.
  • Knowledge of EC financing rules an advantage.
  • Knowledge of MS Office (MS Excel, MS Word, MS Outlook) required.
  • Knowledge of SAP is advantageous.
  • Strong analytical thinking
  • Excellent in numbers
  • Strong planning skills and strong in keeping deadlines
  • Ability to work independently and also in a team
  • Fluent in both English and Slovak language
